A record is useful when the right person can retrieve the right context later. Test that ability before choosing software: a neat record screen does not show what happens when a form changes, an image is exported or another practitioner takes over.
This is an operational purchasing checklist, published by Rytura. It is not a prescribed clinical dataset, retention schedule or statement of legal compliance. Your clinic defines its documentation requirements with the appropriate professional advice. Use fictional information in demonstrations.
Start with one person and two visits
Create a fictional client with a consultation and a later treatment or review. Ask the supplier to show how the diary entries relate to the same person. Then search again using a changed contact detail and discuss how staff should avoid or resolve duplicate records.
Check where client details, appointment history, assigned forms and treatment information appear. The question is not whether every screen contains everything; it is whether staff can find the right information without confusing the current visit with the previous one.
Follow a form version through completion
Ask the supplier to publish a fictional form, assign it and demonstrate completion. Then update the template. Can your team identify the wording associated with the earlier assignment or completed response? Establish how the product distinguishes a current template from historical evidence.
Also test an incomplete form and a form awaiting review. Completion, review and the professional consent process are distinct. Rytura supports versioned forms and client assignment; clinicians remain responsible for consultation and decisions.
Organise photographs around a visit
Show how an authorised user finds the image associated with the relevant client and appointment. Ask about capture dates, labels, original files, annotations and any comparison view you need. A supplier should demonstrate the functions your clinic depends on rather than relying on the phrase “before and after photos”.
- Can you distinguish an original from an edited or annotated copy?
- What information remains attached when an image is downloaded or exported?
- Which staff roles can view it, and what is visible to the client?
- How does the clinic keep treatment-record use distinct from any separately authorised marketing use?
These are evaluation questions, not a claim that Rytura provides every specialist imaging function. Demonstrate your required workflow on the actual devices you plan to use and check current availability.
Connect product and batch information
Choose one fictional product and batch. Find the expiry information, demonstrate a stock movement and show its treatment-use context. Confirm how quantities and units are represented. Then retrieve the relevant information from the later visit.
Ask specifically about procurement, automated stock deduction or batch searches if they are essential; do not infer them from a generic inventory label. Rytura’s stock-management page states its published scope.
Test a handover and the client-facing boundary
Repeat the retrieval exercise as reception, practitioner and owner. Record which information each role needs and can access. Then view the client side. An appointment and an assigned form may be intended for the portal, while clinical notes remain with the clinic team.

Include correction, export and a possible move
Before signing, ask for the correction process and an example export. Check whether form versions, notes, photographs and their relationships survive outside the application. Agree how staff would retrieve older evidence if it cannot be imported into a replacement system.

Record the outcome while the evidence is visible
For each scenario, note the date, product and plan, what was demonstrated, the setup required and any unanswered question. Classify it as demonstrated, dependent on setup, planned or not established. Keep a named owner for follow-up questions before making the purchasing decision.
