What belongs in a clinic-software cost comparison?

Start with the recurring subscription, then add every amount that changes with the size or activity of the clinic. A low entry price can remain good value, but it is not a complete comparison when extra logins, messaging, payments or onboarding sit elsewhere.

  • People and places: bookable practitioner seats, reception access, managers, locations and rooms.
  • Communication: chargeable SMS segments, sender setup, phone numbers and any supplier margin.
  • Payments: percentage and fixed fees, marketplace commission, hardware, refunds and chargebacks.
  • Starting and leaving: onboarding, migration, minimum term, notice period and usable data export.
  • Optional modules: marketing, forms, storage, reporting, client apps, support and training.

The formula used by this calculator

The software total is the monthly subscription plus extra paid seats and recurring add-ons, multiplied by the contract months, plus one-off costs. Messaging and payment-provider estimates are calculated separately, then added to show a combined planning total. The optional 20% VAT toggle applies only to the software contract; enter usage and provider rates as charged, including VAT where applicable.

What this number cannot tell you

Cost is only one buying criterion. Test a real booking-to-follow-up journey, mobile client forms, role-based access, record export and the support route. A cheaper system that creates repeated administration can cost more in clinic time; a broader system may be unnecessary when the workflow does not need it.

How much does aesthetic clinic software cost in the UK?

There is no single reliable total because suppliers use different subscription, practitioner, messaging, payment, onboarding and add-on models. Normalise each written quote over the same contract period and expected clinic usage before comparing it.

Are SMS and card-payment fees part of the software price?

Sometimes they are bundled, but often they are separate usage or payment-provider charges. Ask who sets each rate, whether the supplier adds a margin, and which account receives client funds.

Does the lowest monthly subscription mean the lowest total cost?

Not necessarily. Additional practitioners, locations, messages, onboarding, migration, marketplace commission, payment processing, hardware and data-exit work can materially change the first-year total.
