Start with the job that is breaking down. If clients cannot find a suitable appointment, investigate booking. If the team loses context between visits, investigate client management. If records, stock, forms and handovers are disconnected, investigate the wider clinic system.
Suppliers use these labels differently, and a single product may cover all three. This guide is published by Rytura, which sells aesthetic clinic software. The situations below are fictional evaluation exercises, not measured customer outcomes.
1. “Clients message us just to find an appointment.”
A booking system should expose the treatment choices and practitioner availability you intend to offer. But the demonstration should continue after a slot is selected. Where does the appointment appear? Is it connected to an existing client? How are the required forms assigned? What can the client do if they need to move it?
Ask for a first-time booking and a returning-client booking. Test a full diary, a cancelled slot and a request to move. Establish which actions are automatic and which the clinic must confirm. A calendar screenshot cannot answer those questions.

2. “We keep asking returning clients for the same context.”
A CRM commonly organises contacts, enquiries and relationship activity. For an aesthetic clinic, useful continuity may also depend on appointments, consultation information, treatment history and what the client has been asked to do next. Find out whether the CRM holds this information or merely links to another system.
In a fictional review visit, ask a staff member to identify the existing client, locate the last appointment and find the assigned aftercare. Then change staff role and repeat. Confirm what reception can see and what remains with the authorised practitioner.
Separate this from campaign automation. A connected record does not establish that lead scoring, an automated sales pipeline, marketing campaigns or recall messages are available. 3. “The diary is full, but the clinic work is unfinished.”
This is a practice-management question. Booking and contact details may be working while forms await review, product use is recorded elsewhere or nobody is sure who owns an unresolved payment check.
Demonstrate the whole visit with two staff roles. Move from the appointment to the assigned form, treatment context, product or batch information and payment status. Finish by showing the team what remains to be done. Note any step requiring another system or manual re-entry.
Use aesthetic practice management software to assess the shared routine, rather than selecting a product solely because it calls itself “all-in-one”.
A comparison sheet that exposes the differences
- Job: write one concrete action, such as finding a returning client’s previous form.
- Person: identify who performs it and which permissions they need.
- Evidence: record whether the supplier demonstrated it live, described a setup step or placed it on a roadmap.
- Cost: include the required plan, users, messages, payment charges and setup.
- Exit: ask how the underlying information can be retrieved if you leave.
Give every supplier the same scenarios and keep a separate list of essential requirements. A missing essential workflow matters more than several optional features that you would rarely use.
Choose the next demonstration
If booking is the immediate problem, start there but finish at the client record. If continuity is the problem, start at the returning client and work backwards. If the team cannot close the day clearly, demonstrate the whole operational process.
