Live clinic tools · Treatment journeys

The treatment is one visit. The care is a journey.

Bring the original appointment and its reviews together. Understand the work behind them and keep the patient’s agreed goal in view.

For clinic owners

Make the follow-up part of the costing.

Open Dashboard & reports → Treatment journey costs. Create a journey from an appointment and add related visits for the same patient, including reviews with no new payment.

Collections after refunds

See settled payments recorded against the grouped appointments, less recorded refunds. Pending payments, vouchers and account credit remain separate from cash.

Products and time

Value recorded product use at current batch unit costs. Enter actual treatment and follow-up minutes, staff cost per hour and any other direct costs.

Know what is missing

Unpriced product use, missing hourly rates and unreviewed costs stay visible. Recorded amounts and estimates are labelled separately.

This is a partial cash-and-cost view before payment fees, tax and overheads. It does not show net profit. Labour is a valuation at the rate you enter. Product estimates can change when batch costs change. Unallocated course purchases and payments without an appointment are excluded; missing figures are not deducted from the remainder.

For practitioners and patients

Agree the goal. Share the plan. Keep the history.

Open Today → Patient goals & progress. Start from a visit or choose an existing journey, record what matters to the patient and approve the agreed plan for their portal.

A shared direction

Record the patient’s goal, the agreed next steps and whether the plan is active, paused or the goal has been reached. Each publication requires confirmation of patient agreement and practitioner approval.

One view across visits

Patients open Goals & progress to see published plans, linked visits and their existing aftercare check-in replies. Earlier versions remain in the timeline when a plan changes.

Private information stays controlled

Financial details and private staff review notes are excluded from the patient timeline. Clinical records and photographs retain their existing permissions.

A goal or review status is not medical clearance. The timeline does not automatically publish clinical photographs or provide continuous monitoring. Check-ins are answered in the portal and reviewed by the responsible practitioner; they do not send email or SMS.
