Work beyond the diary

See the work before it becomes overdue.

Your clinic chooses how many days after a treatment a follow-up is expected and the staff minutes to allow. Confirmed appointments then contribute to a 28-day forecast.

Treatment-based estimates

Choose your clinic’s timing and staff-minute estimate. Add an individual follow-up when a particular appointment needs a different plan.

Time you can set aside

Set each practitioner’s weekday aftercare allowance. See work above that allowance and approved leave overlapping a due date. An unset allowance is shown as unknown.

Outstanding work stays visible

Review overdue tasks and record whether a client was contacted, a follow-up reviewed or the work is no longer needed. Closed work can be explicitly reopened.

Accepted cover

A handover needs an answer.

The current practitioner remains responsible while a cover request is awaiting an answer. Only the proposed colleague can accept or decline the request.

Patient check-ins

A reply has someone responsible for reviewing it.

The clinic owner approves a question for each treatment. After the appointment, a practitioner can publish that question to a patient with a linked secure portal account.

A clear place to reply

Patients answer in Aftercare check-ins and can ask the clinic to contact them. Their portal shows whether a reply is awaiting review or has been reviewed.

Review before completion

The responsible practitioner or clinic owner records a review and any action taken. An unreviewed patient reply prevents the follow-up from being closed.

In-app reminders

Cover requests, replies awaiting review and overdue unanswered check-ins remain visible in staff alerts. Accepting cover includes access to that follow-up’s check-ins.

Check-ins are published individually and do not send email or SMS. Replies are not monitored continuously. Patients are directed to contact the clinic or seek urgent medical help for urgent concerns. A reviewed status is not medical clearance.

Open Today → Aftercare workload → Open planner. Owners and administrators configure treatment rules and weekly allowances. Practitioners see their work and cover requests.

Saved plans keep their agreement

An untouched forecast follows booking changes. Once a task is saved or managed, its date and owner stay in place until explicitly changed. Review saved tasks after an appointment moves or is cancelled.

Clinical access remains controlled

Accepting cover transfers one follow-up task. It does not grant access to the full clinical record. Arrange the clinical information required through your clinic’s existing handover process.

The planner estimates operational workload. It does not assess clinical risk, determine treatment suitability or reserve diary slots. Your clinic sets its own rules and approves its own check-in questions; no clinical timing or staffing recommendations are prefilled.
